Sidekick Orchestration

AI for HR consulting firms in Canada: proposals, RFPs and client reports

For HR consultancies and fractional HR firms that answer RFPs, write policies and report to clients.

The short answer. Sidekick Orchestration helps HR consulting firms across Canada use AI to draft RFP and proposal answers from their past bids, plus policy drafts, client reports and marketing materials. Chase Bernier is based in Metro Vancouver and works with firms anywhere in Canada by video call. He sets it up in the AI tool your firm already has and coaches your leaders until they use it every week.

What AI drafts at an HR consulting firm

AI writes the first version. Your consultants check it, fix it and decide what goes to the client.

RFP and proposal answers

Answers drafted from the bids you have already written: your firm description, approach, team bios and service sections, adjusted to the new request.

Policy and handbook drafts

A first draft of a policy or handbook section from your own templates, for a consultant to check against the client's situation and the rules that apply.

Client reports

Monthly or project reports drafted from your notes in your firm's structure and tone.

Marketing materials

Service sheets, social posts and event signage drafted from your existing content, in your firm's voice.

What changed at one fractional HR firm

A fractional HR firm we coach set this up in Microsoft Copilot. By their own estimate, the first draft of a large RFP went from several days of writing and formatting to a few hours, with time still spent refining it. A standard proposal went from about two hours to 20 to 30 minutes plus review.

They also use AI for marketing materials and signage, and say those now take a fraction of the time. Their time moved from building documents to reviewing scope, pricing and positioning. These are their estimates, and results vary by task and firm. Some jobs get much faster, some only get better, and some should not use AI.

How it gets set up

  • A free 30-minute fit call

You walk Chase through the bids, policies and reports your firm writes. He tells you plainly whether Sidekick can help.
  • Your past bids become reusable sections

Chase sets up Claude, ChatGPT or Microsoft Copilot to draft from the proposals you have already sent, then adjusts it as you correct it.
  • Leaders first, then consultants

The owners and leads use it every week first. Then the rest of the team learns on the jobs they do.
  • Rules for employee and client information

A staff AI-use policy that says what can go into the tool, what needs a named approver and what never goes in. Included in Solo for Execs and Fractional.

Employee data and privacy

HR work involves personal information about your clients' employees. Use AI only through an approved business account, and get a named approver's sign-off before personal or client information goes in. Canadian privacy laws already apply to organizations that use these tools.

Your IT provider owns security, licences and settings, and Sidekick agrees the setup with them first. Chase coaches and never logs in to your systems or asks for your passwords.

Questions buyers ask first.

When to choose someone else

  • You want an AI tool built into your HRIS or applicant tracking system. Hire a software developer or ask your software vendor.
  • You need licences, devices or Microsoft 365 security set up. That is your IT provider's job, and Sidekick works alongside them.
  • You need legal advice on privacy or employment law. Ask an employment or privacy lawyer.
How much does it cost to set up AI for proposals and RFPs?

Solo, for one leader, is $1,800 CAD, paid once. Solo for Execs is $2,900 CAD, paid once. Fractional, for the whole firm, is from $6,000 CAD a month with a 90-day minimum. The first call is free.

Do you work with HR firms outside BC?

Yes. Chase is based in Metro Vancouver and works with firms anywhere in Canada by video call.

Can AI write a whole RFP response for us?

It can draft the first version from your past bids. A person still decides price and scope, checks every promise and reference, and does the last read.

Is it safe to use AI with employee information?

Only with clear rules. Use an approved business account, and get a named approver's sign-off before personal or client information goes in. Our AI policy guide covers the Canadian privacy rules.

Do we need a new AI tool?

Usually not. Sidekick works in the tool your firm already has, such as Claude, ChatGPT or Microsoft Copilot.

How long until we see a result?

Solo runs over 30 days with four 30-minute coaching calls. Results vary by task and firm.
