From workshop notes to a client action package

The client receives something the team can use at its next handover, together with a plan for learning whether it helps.
Client findings
Requests enter through chat and a paper list, so teams lack one shared view at shift change. The manager has approved trying the existing shared spreadsheet for two weeks. A shared list may reduce missed ownership; the workshop alone does not establish that result.
Handover template
| Request / next action | Owner | Due / urgency | Status |
|---|---|---|---|
| Example: order 104: confirm collection time | Name required | Today / urgent | Awaiting customer |
| Example: order 108: check missing carton | Name required | Next shift | Needs warehouse check |
Two-week trial
- Before starting: manager names the trial owner and review date, then shares three anonymized missed-request examples.
- At each handover: outgoing staff update open requests; incoming staff confirm who owns each next action. Keep the four template fields short.
- Trial owner records missing owners, requests absent from the list and questions staff cannot resolve. Record observations, not guesses about time saved.
- At the review: inspect those cases with staff. Keep, simplify or change the method based on what happened.
Client email: ready for approval
The findings, trial plan and handover sheet are ready for review. The trial uses your existing spreadsheet and keeps the handover to four fields. Before your team starts, please name the trial owner, confirm a review date and share the three anonymized examples discussed. We can then check the sheet against those cases. No new software is needed for this trial.

Check the result
Use the existing spreadsheet. The trial is agreed, but its owner and date are not. Separate illustrative template rows from real customer work.
Apply it to your work
Before trying this with real work, confirm that the AI tool may use those records and that someone can check important mistakes. Otherwise, keep using fictional details.
Try notes and scope from a completed client session. Compare whether the package contains what the client needed next, with no added promises.
