The commercial renewal that comes back to bite a brokerage is seldom the one missing a signature. It's the one where the client mentioned a change months ago, in an email to the CSR, and nobody endorsed it.
That's the first place to test AI. It reads the renewal file and the year's correspondence, then drafts a list of what changed, where each detail came from and what's still missing. Account managers and CSRs check the draft. Producers and account executives give the coverage advice. This article covers commercial lines, where one missed change can cost the most.
A contractor's renewal, illustrated
Nothing in that draft says whether the unit or the skid steer is covered today. A reassuring sentence there would make the file worse. The account manager reads the policy and the endorsement history, and the producer advises the client.
Each line carries a source for a reason. If the AI invents an endorsement that doesn't exist, there's no document to point to, and the account manager sees that straight away.
The change to catch first
An un-endorsed mid-term change is an errors and omissions claim waiting to happen. The client told the brokerage. If the unit has a fire or the skid steer is stolen and the change never reached the insurer, the client's first question is why their broker didn't act on the email. A renewal draft that checks the year's correspondence against the policy on file gives the account manager a second chance to catch it before the renewal goes through.
The same side-by-side reading helps with insurer wording. Renewal packages sometimes change an exclusion or condition with little notice. With the new wording beside last year's, the account manager reads only what changed. Deciding what it means for the client is still their job.
Test whoever you hire, including us
Sidekick sets up renewal drafts like this in Claude, ChatGPT or Copilot and coaches the people who run them, so treat what follows as the test to put to any supplier, us included.
Build a sample file with invented details and the traps above: a second location buried in an email, equipment with no serial number, a wording change on page 14. Ask the supplier to run it while you watch. Then ask what happens with an out-of-date document or a question the client never answered. The draft should flag the date or the gap.
Let the people who prepare renewals pick the traps. Your CSRs and account managers know which missing details send a file back to the client twice.
Finally, measure the full renewal, from gathering documents through the account manager's review to the request the client receives. Track staff time apart from time spent waiting on the client. If the draft arrives sooner but the account manager has to rebuild its sources, no time was saved.
The rules that apply
The Canadian Insurance Services Regulatory Organizations, the national association of insurance intermediary regulators, published Cybersecurity readiness when using generative artificial intelligence in November 2024. It asks intermediaries to tell staff which AI tools they may use, keep confidential information out of public AI tools, assess a vendor's security before connecting its tool, understand how AI affects their liability, and check AI output before sharing it. It doesn't approve any product. Your provincial insurance regulator's rules still apply.
Two more calls before real client files go in. Ask your brokerage's errors and omissions insurer how it views AI-drafted work. And settle the product, plan and access rules with whoever owns privacy; our free client confidentiality checklist covers those questions. A good result on renewal prep doesn't mean the tool may advise clients on coverage, change records or bind insurance. A person reviews every draft.
For one person, such as the account manager with your largest commercial book, Solo covers setup and coaching for CAD 1,800. When CSRs, account managers and producers all need to change how renewals move, Fractional AI Leadership means Sidekick leads AI adoption across the brokerage, from CAD 6,000 a month with a 90-day commitment. If renewals aren't your biggest backlog, the free AI Opportunity Map shows where else to look.
Bring one renewal that keeps bouncing back, and the reason. Leave client documents out of it.
